Add your staff and decide what they can do
Give each person who helps you their own login, pick their role (Manager, Cashier and so on), reset a counter PIN, and switch off an account the day someone leaves.
What this page is for
Team lists everyone who can sign in to your admin. Give each person their own login instead of sharing yours, so every bill, discount and change is saved under the right name.
What a person can do comes from their role. Roles are set on Roles & permissions. You need the Manage users permission to use this page.
Add a team member in 4 steps
- 1
Open the form
Team → Add team member
Type their Name, for example Priya Sharma, and their Email. The email is their login and can't be changed later.
- 2
Set a first password
Password
At least 8 characters. Tell it to them in person or on a call, not in a group chat. They can change it later.
- 3
Pick a role
Role
Manager runs the shop but can't change settings, the team or roles. Cashier only bills at the counter and sees customers. Owner can do everything.
No role (no access) creates the login but lets them see nothing yet.
- 4
Save and let them sign in
Save
Tap Save. They sign in at your admin's login page with that email and password. The table shows them as Active.
What the fields on this page mean
- Role
- What this person can see and do. You can only give a role whose permissions you have yourself.e.g. A new counter boy → Cashier. Your brother who runs the shop with you → Manager.
- Password
- Their first password, at least 8 characters. When editing, New password stays blank to keep the current one.e.g. Type a new one here if they forget theirs.
- Their sign-in name. It can't be changed after the account is made; add a new member instead.e.g. priya.shop@gmail.com
- Status
- Active people can sign in. Deactivated people are signed out at once and can't sign in until reactivated. Nothing they did is deleted.e.g. A staff member leaves today → Deactivate.
- Reset PIN
- Shown for staff with a counter PIN, when counter billing is on. Their PIN stops working at once, also on a shared counter. They set a new one from their own account.e.g. A cashier told their PIN to a friend → Reset PIN.
- You
- Your own row. You can't deactivate yourself, so a store is never left without you by mistake.e.g. Ask another owner to deactivate your account if needed.
Someone left? Do this today Tap Deactivate on their row. They are signed out of every device at once. Then check Admin sessions, and change any shared passwords they knew, like your Wi-Fi or email.

Common questions
- How do I add a cashier?
- Tap Add team member, fill Name, Email and Password, pick the Cashier role and Save. A cashier can bill at the counter and see customers, nothing more.
- My staff forgot their password.
- Tap Edit on their row, type a New password and Save. Tell them the new one in person.
- Can I change a team member's email?
- No. The email is their login. Add them again with the new email, then deactivate the old account.
- What happens when I deactivate someone?
- They are signed out at once and can't sign back in. Their bills and changes stay, under their name. Tap Reactivate to let them back.
- Why can't I give someone the Owner role?
- You can only give a role whose permissions you already have. Only an Owner can make another Owner.
- Why can't I change the other owner?
- You can't change someone who has permissions you don't. And a store's only active Owner can't be demoted; make someone else an Owner first.
- Where is Reset PIN?
- It shows on rows of staff who have set a counter PIN, when counter billing is switched on for your store.
- Can two people share one login?
- They can, but don't. With one login each, every bill, discount and change shows who did it, and you can switch off one person without stopping the rest.
