Your customers: wholesale access, segments, credit and tiers
Approve who sees your wholesale prices, find customers by segment (regulars, lapsed, big spenders, birthdays), add a customer, and manage one customer's special prices, udhaar limit, points, store credit, statement and membership tier.
What the Customers page is for
Customers has two parts. On top: access requests from buyers who want to see your wholesale prices. Below: All customers, everyone who bought at your counter or online, or registered on your store.
Click a customer to open their page: contact details, their wholesale access, what they bought, special prices, udhaar, points, store credit and their statement.
- To open Customers you need "View customers". Approving or extending access needs "Approve access"; blocking needs "Block customers"; changing limits, points and store credit needs "Edit customers".
- Spend and average bill show only to staff who can see orders or wholesale prices.
- Export downloads the list. Download CSV / Download Excel in the segment bar download just the customers you are looking at. Both need "Export data".
Approve your first wholesale buyer in 4 steps
- 1
Find the request
Customers → Pending requests
Each request shows the Business, Type (Retailer, Wholesaler, Distributor and so on), City, GSTIN, Email and Phone the buyer gave. On a phone the requests show as cards you can swipe.
- 2
Check the business
Call the number or check the GSTIN if you are unsure. Not ready to decide? Tap Later. The request moves to the skipped list and you can bring it back with one tap.
- 3
Pick how long access lasts
Access expiry
Choose 7 days, 30 days, 90 days, 1 year or Never expires. 30 days is the default ("Wholesale access lasts" in settings).
- 4
Approve (or Reject)
Tap Approve. The buyer now sees your wholesale prices when signed in. Reject asks for an optional reason the buyer may see. On a phone, swipe right to approve and left to reject; an Undo shows for a few seconds.
Access requests and grants
A grant is the permission to see wholesale prices. It has an expiry date, or Never expires. When it runs out, the customer's status becomes Expired and they see normal prices again until you extend it.
To act on many customers at once, tick them in the list. A bar appears with Extend (7 days, 30 days, 90 days or 1 year) and Revoke. Revoke stops wholesale pricing straight away until you approve them again.
- Pending: asked for access, not decided.
- Approved: can see wholesale prices now.
- Blocked: no wholesale prices, signed out, and can't ask again until you unblock them.
- Expired: their access ran out.
Segments: find the right customers
The Segments bar filters All customers in one tap. The line under it says what the segment means with your store's numbers.
"Can contact" narrows it further: Anyone, Agreed to WhatsApp, or Agreed to offers. Use it before you message people.
- New: first purchase in the last 30 days.
- Bought recently: bought in the last 30 days.
- Regulars: 3 or more purchases, counter and online together.
- Lapsed: bought before, but not in the last 90 days.
- Big spenders: your top 10% of paying customers by total spend, or everyone above an amount you set.
- Counter only / Online only: bought only at your shop, or only online.
- Birthday this month: only customers whose birthday you saved.
- Change these numbers in Settings → Advanced settings (for example "Lapsed after" and "Regular after this many visits").
Copy WhatsApp numbers
"Copy WhatsApp numbers" copies the numbers of the customers in your current view who agreed to WhatsApp messages. Paste them into WhatsApp Business. Customers without consent, or without a usable number, are left out and the count tells you how many.
Sending one offer to many customers at once from Slaby (broadcasts) isn't available yet: WhatsApp's rules need approved templates and each customer's consent.
Add a customer
Tap "Add customer". Every field is optional: Phone, Name, Email, Birthday (DD/MM/YYYY) and Notes. Enter at least a phone, a name or an email.
If the phone number already shops with you, Slaby opens that customer instead of making a second one.
Tick "Customer agreed to receive offers" and "Customer agreed to WhatsApp messages from the store" only if the customer said yes. Offers go only to customers who agreed.
One customer's page
At the top: Phone, Email, Tier, Access and Grant expiry. The Shopping summary shows where they buy (Source), visits, lifetime spend, average bill, first and last purchase, birthday, and their consent for offers and WhatsApp.
"Message on WhatsApp" shows only when the customer agreed to WhatsApp messages and hasn't replied STOP.
Below are the panels in this guide: access actions, negotiated prices, credit (udhaar), reward points, store credit, plus Request history and Grant history.
Access actions
Approve or Reject request (when one is pending), Grant access for a period, Extend access by a period, Revoke access, and Block customer.
Revoke: wholesale pricing stops at once and their sessions are signed out. They keep their account and can be approved again later.
Block: they lose wholesale pricing, are signed out, and can't request access again until unblocked.
Negotiated prices (special price for one customer)
A negotiated price overrides the normal wholesale or tier price for this customer on one product. Tap "Add override", search the product (you see its standard wholesale price), type the price, for example 499.50, and tap "Save override".
"Remove override" puts them back on the standard price. Changing negotiated prices needs "Edit customers".
Credit (udhaar): limit, outstanding and headroom
Set a Credit limit to let this customer buy on udhaar. Leave it empty for no credit, and tap Save.
Outstanding is what they owe now. Limit is the most they may owe. Headroom is what they can still buy on udhaar: Limit − Outstanding.
To write a payment by hand, choose Entry → "Payment received", type the amount and a note such as a UPI reference, and tap Record. "Manual charge" adds to what they owe, with an optional order number.
For day-to-day udhaar (receiving payments that clear the oldest bills, reminders, statements), use the Udhaar page.
- If the page says business credit is switched off, buyers can't choose credit at online checkout. You can still keep the book here.
Reward points and store credit
Reward points shows the balance and every entry (Order earn, Redeemed, Signup bonus, Referral, Expired and more). Grant or Revoke points with a note, for example "Goodwill / correction".
Store credit is money in the customer's wallet that they spend at checkout. "Issue store credit" adds an amount now with your reason. It expires after the days in your store credit settings, and every entry is recorded with your name.
Account statement
"Account statement" opens a statement for a period: opening balance due, bills, payments, returns, store credit and the closing balance due. Download it as a PDF, copy its link, or send it on WhatsApp.
Set up membership tiers (Silver, Gold, Platinum)
- 1
Open Tiers
Customers → Tiers
The Tiers button shows when Membership tiers are on (Settings → Rewards). You can set tiers up before turning them on; nothing reaches customers until then.
- 2
Add a tier
Tap "Add tier". Type a Name (Gold), pick a Badge colour and a Level. Higher levels are better tiers; a customer who qualifies for two gets the higher one.
- 3
Choose how customers join
By spend: "Spends at least" an amount "In the last (months)", for example ₹25,000 in 12 months. Counter and online bills count; cancelled and unpaid ones don't. Customers are checked again every night.
By hand: you add each customer from their page with "Change tier".
- 4
Set the benefits and save
Discount at the counter (%) and Discount online (%), 0 to 50, taken off before tax. Points multiplier: 1 is normal, 2 is double points (works when Rewards is on). Tap "Save tier"; the message tells you how many customers moved.
Change one customer's tier
On the customer's page, the Membership card shows their tier, whether it is "By spend" or "Set by hand", and what they spent. "Change tier" sets a tier by hand; it stays until you tap "Use spend rule". The change is recorded in the audit log.
Retire removes a tier. Its customers lose its benefits, and anyone whose spend earns another tier moves there straight away.

Common questions
- How do I let a buyer see my wholesale prices?
- Approve their request in Customers → Pending requests and pick how long access lasts. Or open the customer and use "Grant access for".
- A buyer says they can't see wholesale prices any more. Why?
- Their access probably expired. Open the customer: Grant expiry shows the date. Use "Extend access by" to give more time.
- How do I give one customer a special price?
- Open the customer, go to Negotiated prices, tap "Add override", pick the product, type the price and tap "Save override".
- How do I give a customer udhaar?
- Open the customer and type a Credit limit, then Save. They can then buy on udhaar up to that amount. See who owes what on the Udhaar page.
- Can I send an offer to all my regular customers?
- Pick the Regulars segment and "Agreed to WhatsApp", then "Copy WhatsApp numbers" and paste them into WhatsApp Business. Sending broadcasts from Slaby isn't available yet.
- Why is a customer missing from Copy WhatsApp numbers?
- Only customers who agreed to WhatsApp messages, with a usable number, are copied. Ask them at the counter and tick the consent on their record.
- I added a customer with a phone that already exists. What happens?
- Slaby opens the existing customer instead of making a duplicate.
- What is the difference between Revoke and Block?
- Revoke stops wholesale pricing now but lets them be approved again. Block also stops them asking again until you unblock them.
- How do customers move into a tier?
- With "By spend", every night Slaby checks what each customer spent in the window and moves them. With "By hand", you set it on their page with "Change tier".
- Can I see everything a customer bought and paid?
- Yes. Open the customer and tap "Account statement", then choose the period.
